Privacy Notice

This Privacy Notice explains how vocalrep ("we", "us") collects and processes personal data when you use VocalRep (the "Service"). We act as the data controller for the personal data described here.

1. Data we collect

  • Account data (when you sign in): name, email address, and avatar URL from your Google account.
  • Usage data: an anonymous identifier stored in your browser, the number of transcriptions performed, and timestamps.
  • Audio content: voice messages you upload, processed in-memory to produce transcripts and AI replies. Audio is not stored after processing.
  • Technical data: IP address, browser type, device identifiers, and basic telemetry collected via cookies and analytics.
  • Support and feedback: messages you send us via the in-app feedback form.

2. Why we use it (purposes & legal basis)

  • Provide the Service and process transcriptions — contract performance.
  • Authenticate you and maintain your account — contract performance.
  • Enforce usage limits and prevent abuse — legitimate interests.
  • Improve the Service, debug issues, and measure usage — legitimate interests.
  • Comply with legal obligations (tax, accounting, regulatory requests) — legal obligation.

3. Who we share data with

  • Paddle.com — our Merchant of Record for payments, subscription management, tax compliance, and invoicing. Paddle collects billing information directly and processes it under its own privacy policy.
  • Hosting and infrastructure providers that operate the Service on our behalf as processors.
  • AI processing providers used to transcribe audio and generate replies, acting as processors.
  • Analytics providers (Google Analytics / Google Tag Manager) for aggregate usage measurement.
  • Authorities where required by law.

Some of these providers may process data outside your country, including outside the EEA/UK. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.

4. Retention

Audio is not stored after processing. Usage counters and account data are retained while your account is active and for a reasonable period afterward to comply with legal and accounting obligations, then deleted or anonymised.

5. Your rights

Depending on your jurisdiction you may have rights to access, rectify, erase, restrict, or port your personal data, to object to processing, and to withdraw consent. EEA/UK users also have the right to complain to a supervisory authority. We respond to verified requests within one month.

6. Security

We apply appropriate technical and organisational measures, including encryption in transit, access controls, and least-privilege server-side keys.

7. Cookies and analytics

We use essential cookies to operate the Service (for authentication and usage tracking) and analytics cookies (Google Analytics / GTM) to understand aggregate usage. You can manage cookies through your browser settings.
